HelpOne is a custom platform built in FileMaker to support nonprofit organizations in managing volunteers, employees, and events from a single system. Designed to reduce manual coordination and improve transparency, HelpOne connects people, communication, scheduling, and documentation into one streamlined workflow.
Volunteers access their own workspace to enter availability and receive invitations for upcoming events. When an event is planned, shifts and responsibilities are defined directly in the system, and invitations are automatically sent via Twilio-powered SMS and email. Each invitation includes a mobile-friendly link, allowing volunteers to confirm participation directly from their phone. Once accepted, the volunteer’s status updates instantly inside FileMaker and appears as a confirmed assignment.
Event planning goes beyond scheduling. Each event contains full operational details, including internal teams, external companies, and related contacts. As events are created, structured document folders are automatically generated in Google Drive, and all files are stored through a centralized webhook-based document workflow, ensuring that contracts, checklists, and reports are always organized and accessible.
Availability and workload are visualized through integrated W3 (HTML, CSS and JavaScript) calendar views, showing volunteer engagement, staff occupancy, absences, holidays, and key timelines. This allows coordinators to instantly see where capacity is available and where adjustments are needed.
In parallel, HelpOne supports structured employee reviews, where managers and staff complete evaluations using predefined templates with selectable and free-text responses. This ensures consistent feedback while keeping all HR processes within the same platform.
All workflows are built natively in FileMaker, with Twilio, Google Drive, and calendar services fully integrated into the system rather than managed externally.
